Sending Availability requests & Offers 📆

By requesting the availability of multiple entertainers, you improve your chances of finding artists who are available on your desired event date. This also has proven effective when having to find someone else to plug in a performance slot after a last minute cancellation.


Remember that an Availability request is not an offer and once entertainers respond back with their availability you as the venue will have to either extend an offer or confirm the booking.


Note: Confirmed should only be used if you have spoken directly with the entertainer.


You can request your entertainers availabilities for multiple dates / times before sending them offers or confirming their performance. 


Steps to follow:

  • Make sure you have created your draft event with slots of performances you need to fill.
  • When you select the slots in your events page the request availability button will appear.
  • You will get an overview of your entertainers and you can only invite entertainers who've been added to your contact list. *You can use labels to send out availability requests so don't forget to create them in your contacts page.

  • Entertainers will receive a notification that their availability has been requested by your venue and can mark themselves available or not.


  • Once entertainers have responded with their availability, you'll be able to view responses (entertainers who are available) by the numbered indicator or the little calendar icon in each performance slot. It will show you who is available / unavailable and who still needs to respond.


If not done previously, enter the rate for this performance and once you have chosen an entertainer for this slot, you can either send them an offer or manually confirm them for the performance (assuming you know they are available to play at that time). 



Unavailability

Entertainers can now manage their unavailability directly on their entertainer profiles. When venue or agency tries to book them during these unavailable times they'll see a popup message that they are unavailable with the reason why.
